FIRM OVERVIEW:

Laurel Trust Company (LTC) a retail trust company under organization in Reno, Nevada, will serve as the corporate trustee and provide fiduciary services for ultra high net worth clients.  LTC will be affiliated with Hall Capital Partners, which has a 20-year record of building and managing global investment portfolios and has established a strong reputation as a successful investor and partner.  LTC’s culture will be focused on integrity, exemplary client service, and fulfillment of its fiduciary duties.

POSITION TITLE:

Trust Administrative Associate / Office Manager

A successful person in this role will partner with the Trust Officer in every aspect of trust administration and overall service to ensure client satisfaction, client retention and compliance with all policies, procedures and accounting practices.  This individual will have the ability to work well within a small office where no job is too big or small. Trust administration experience as well as the ability to fulfill the office manager responsibilities will set this person up for success.

RESPONSIBILITIES OVERVIEW:

  • Administration of trust accounts, including all aspects of account opening and closing processes, asset transfers, processing transactions, collecting information, fee processing, preparing reports, security filings, audit confirmations and private placement investments
  • Effectively manage multiple on-going projects and successfully prioritize multiple tasks with good judgment and follow up with the Trust Officer.
  • Maintain and coordinate the implementation and ongoing work of accounting and accounting control procedures
  • Actively involved in the improvement of procedures and policies
  • Perform account reconciliation
  • Partner with the Trust Officer to ensure that proper tax preparation and reporting is consistently completed
  • Provide administrative support for the Trust Officer including assist in scheduling meetings, filing, and other duties as assigned
  • Manage office services including organizing office operations and procedures, safety and security, mail, and duplication services, facilities maintenance and cleaning services, records management, reception area, key control
  • Develop and maintain vendor relationships; review service levels and new options for services; renew or modify contracts.
  • Serve as IT liaison
  • Open accounts for ongoing office use – caterers, office supplies and equipment vendors
  • Manage invoices for payment – rent, utilities, furniture, contractors, etc.
  • Coordinate relationship with landlord and property manager
  • Other duties as needed in working in a newly developed, office environment

 

PREFERRED QUALIFICATIONS:

  • College graduate
  • 2-5 years of trust administration, financial services accounting firm or law firm experience
  • 1+ years of office management or assistant
  • High-level proficiency in MS Excel, PowerPoint and Word
  • Detail-oriented and possess excellent organizational skills
  • Excellent verbal and written communication skills including the ability to interact with varied audiences
  • Flexible and willing to work overtime if needed
  • Discretion and respect for confidential matters
  • Strong work ethic
  • High degree of comfort working in a flexible, entrepreneurial environment

OTHER REQUIREMENTS:

  • This position may require the individual to authorize a personal background check with the Nevada Financial Institutions Division
  • This job requires the employee to sit for approximately 6-7 hours a day and use a keyboard and mouse for repetitive motion. There will be >15 lbs. to lift, push, or pull in this job.
