Profile

Job Summary:

The Paralegal will assist the legal team and admin staff by providing clerical, drafting, and research support services including, but not limited to, scheduling client meetings, document preparation and review, client communication, investigations and fact-checking, and trial preparation.

Essential Duties/Responsibilities:

Administrative:

  • Provide day-to-day administrative support including answering phones and professionally interacting with clients and vendors
  • Timely response of messages and emails to ensure client satisfaction
  • Monitor and schedule the legal team’s calendars and serve as an added reminder when needed
  • Assist in various projects and follow up to support the workload of the Director of Operations and the legal team
  • Assist with preparation of various meetings: legal, client and staff meetings
  • Record and distribute staff meeting minutes
  • Scan and properly file documents in the server
  • Distribute and open mail daily

Paralegal:

  • Meets with attorneys, clients, and other professionals to discuss assigned matters or projects.
  • Drafts legal documents including but not limited to estate planning documents, estate administration documents and forms, Medicaid applications, business documents, funding documents, routine pleadings and motions, exhibits, summaries, spreadsheets, presentations, affidavits, discovery requests, including notices for deposition, document demands, interrogatories, and requests for examination. Files documents with the court and serves same on parties according to judicial procedures, including electronic and paper filing.
  • Manages and maintains internal and external calendar of all active cases, including court dates, filing deadlines, and other pertinent timeline information; manages deadlines, reminders, and follow-ups with appropriate parties.
  • Coordinates with outside advisors, accountants, co-counsel, and experts on case-related matters; provides updates to appropriate parties; follows up on open items; manages deadlines.
  • Researches and analyzes statutes, regulations, legal articles, judicial decisions, and other legal sources; provides written analysis to attorneys.
  • Stays up to date on pertinent statutes, judicial procedures, legal rules, and regulations in multiple jurisdictions.
  • Interviews clients and witnesses and prepares summaries of their statements.
  • Analyzes and processes matter-related data; identifies missing information and documents and follows up appropriately; organizes and summarizes matter data into useful formats.
  • Prepares, organizes, stores, and retrieves case files, which may include evidence, exhibits, depositions, pleadings, exhibits, original estate planning documents, and other items.
  • Assists attorneys with trial preparation, which may include attending trials, depositions, and hearings.
  • Develops and maintains detailed records regarding personal billable hours spent on specific cases. 
  • Performs other related duties as assigned.

Required Skills/Abilities:

  • Advanced proficiency with Microsoft Office Suite, including Outlook, Word, Excel, PowerPoint and related software.

Education and Experience:

  • Bachelor’s degree required.
  • Paralegal certificate required.
  • Minimum of three years related experience.

Physical Requirements:

  • Must be able to sit at a desk for long periods throughout the workday with intermittent periods of standing, walking, bending, twisting, and reaching necessary to carry out job duties.
  • Requires coordinated dexterity of fingers/hands necessary to operate a computer and office equipment.
  • Light work, with occasional lifting/carrying of objects with a maximum weight of up to 25 pounds.

Work Environment:

  • Works indoors in adequate workspace and lighting, but with fluctuations in temperatures and ventilation.
  • Frequent exposure to noise, disruptions, and stress.
  • Normal indoor exposure to dust/dirt.

Salary:

Full-time in office position. $60,000+ annually, commensurate with experience.
