Fletcher, Heald & Hildreth, PLC has an opening for a full-time Legal Executive Assistant in our Arlington, VA office, with attorneys specializing in Communications/Copyright/Litigation practice areas.  

 

Skills and Position requirements:

Bachelor’s Degree

Expert level skill in Microsoft applications, Worldox or similar DMS system, LMS+ or similar professional services time and billing system.   

Strong detail orientation and ability to turn work around in an efficient manner, experience with maintaining calendars and scheduling meetings and travel

Strong oral and written communications skills; careful listening skills

Excellent time management and project coordination skills and ability to manage the attorneys’ practice with a proactive approach balancing the needs of all

Consistent customer service approach when interacting with internal and external clients; ability to exercise sound judgment

Ability to work effectively in a collaborative work environment, and, independently

Ability to employ emotional intelligence to anticipate issues and address issues; ability to solve problems

Role and Responsibilities: Complete the following tasks to assist the attorney(s) in the management of their docket including, but not limited to the following:

 

  • Able to demonstrate advanced level of proficiency in Microsoft LMS+/LMS-V (Legal Management System), in Worldox and in other applications
  • Manage litigation calendar by entering all appropriate information and routing entries to attorneys
  • Assist with scheduling and advance confirmation of depositions, including finalizing of letters and notices prepared by attorneys, and day-before-telephone confirmation with opposing counsel and court reporter
  • Assist with finalizing responses to discovery requests prepared by attorneys, including client contact for detailed information
  • Assist with preparing briefs and other pleadings drafted by attorneys, including the preparation of table of contents and table of authorities for complex briefs
  • Monitor, coordinate, and facilitate timely receipt of reports and depositions necessary for hearings
  • Keep document management system, and other file system, updated with all case information
  • Able to take direction and work independently with minimal supervision
  • Handle E-filing of court documents and related correspondence
  • Handle billing, retrieve client/matter data, create reports and handle other functions in LMS+/LMS-V.
  • Maintain and update attorney calendars and contacts
  • Coordinate travel arrangements and process expense reports
  • Coordinate and assist with in-house meetings as necessary
  • Maintain current knowledge of court and agency filing requirements
  • Assist co-workers and/or other timekeepers as needed and requested
  • Provide periodic relief for reception
  • Handle other duties as assigned

Experience:

  • Litigation support: 2 years (Preferred)
  • General legal practice support: 3 years (Preferred)

Position reports to the Firm’s Director of Administration and, for work product, to the assigned attorney team.
